Client Records
- Simplest 'Unit' consists of one account and one customer record.
- Details of additional persons -including digital photographs - can be linked to
an account.
- Multiple contracts may be linked to each account, multiple boats to each Contract
and multiple berths to each boat.
- Almost limitless comments available for full client history.
- Automatic update of comments when changes made.
- Graphic display shows all related data in a clear and simple diagrammatic form.
- No problems with duplicate client or boat names whatsoever.
- Very simple handling of change-of-ownership with automatic addition of notes to
necessary clients.
- Finding a client is very simple - either by surname, boat name, account code or
contract.
- Many lists are "active" - click on a line to display all the data for that client.
Contracts
- Berths can be easily assigned or re-assigned to contracts - berth-holders or visitors.
- Automatic invoice creation for new or renewed contracts.
- Graphical berth utilisation monitoring.
- Each contract is a separately-billable item and may be renewed or extended as necessary.
- Contracts may also be linked to one or more berths, for sub-letting.
- Multiple instalment plans may be defined - with deposit, surcharge and monthly payments
calculated automatically.
- Batch or one-shot preparation of instalment invoices.
Accounts
- Client Unit is linked by Account Code to an External Accounts system.
- Data is retrieved directly from Accounts System -balance and transactions correct
up to the minute.
- Lists all client transactions - including new ones that have not yet been exported,
and those not originated in M3.
- Currently Sage Line 50 is supported. TAS Books and Access Accounts are in the pipe-line.
Others will be added as required.
- Accounts are completely un-affected by any changes of ownership.
- Produces Invoices and Receipts with full re-print facility
- Full Discount and Surcharge facilities.
- Facility to input client charges for future invoicing.
- External Accounts provide Statements and other accounts features
Invoicing
- Rapid selection of correct fee type.
- Option to save invoice items until later
- Free individual selection of saved items.
- Unlimited invoice length across multiple pages.
- Professional invoice form on plain paper or printed stationery.
- Preview option allows visual check as invoice is built up.
- Single account for clients with multiple contracts/boats/berths.
- Full or part-payment can be recorded at time of invoicing.
- Up to 6 different payment types - cash, cheque, credit card etc -in a single client
transaction.
- Each payment method may have discount/surcharge applied.
Security
- Controlled access to accounts by User ID.
- Only Supervisor Mode reveals sensitive features.
- Databases have built-in integrity protection making it difficult to break
data links.
- Use of industry-standard databases minimises risk of data loss through network or
PC breakdown.
Pricing
- Great variation is possible on mooring or general price structures available, with separate
pricing for any range of boat lengths or contract type.
- Nominal Ledger codes are automatically validated on new price set-up and when Exported
to Accounts.
- Ability to enter next season prices and use alongside current prices as required.
- Price Lists can be printed, either for ranges of boat lengths, or tailored to one vessel
DataBase
- Uses Microsoft databases - either Access or SQL Server. It is fully compatible
with both.
- For a network over 5 users, a full version of Microsoft SQLServer is essential.
- The Database Schema is fairly self-explanatory and freely available to users, allowing ad-hoc queries to be
generated.
Operations
- Allows easy recording of boat arrivals, departures and movements between berths
and lift-outs etc.
- Berths can be allocated to arriving boats either from a suitably-filtered list of
empty berths.
- If the graphics feature is installed, berths can be allocated visually by a "drag and drop"-like
process. Since the graphics are true to scale, it is easy to avoid
unsuitable moorings - judged by boat length and beam.
- The log of boat movements can be analysed in great detail - an invaluable aid to
management and planning.
Graphics
- A single highly-detailed image of the site is shown in thumbnail form.
- Active areas can then be defined on the thumbnail, and are then enlarged to show
occuping boats. The whole image, including the boats, is strictly accurate to scale.
- Alternatively, a GoTo facility is available from the Client Information Panel, showing
an area centred on the selected boat.
- Each graphical window can be freely re-sized, scrolled and zoomed in or out.
- The level of boat/client detail shown on the graphics changes with the scale.
- Each area can be printed out exactly as displayed.
- If the Operations module is also installed, boat movements can be carried out by
interaction with the graphics.
